Ashlea House takes your privacy seriously and will only use your personal information to respond to any questions you may have and to provide the products and services you have requested from us. Your personal information will never be shared with third parties for marketing purposes and will not be used by us for marketing purposes without your explicit consent.
Data Collected on This Website
When you complete and return our contact form, you will be voluntarily providing us with your personal information. The information you enter in the application form can include your name, address, phone number(s), and email address
Web server logs and securityWhen you visit this website, information about your device, operating system and browser, and your IP address are automatically saved in log files. This serves a number of purposes, including helping to keep the website secure and helping to diagnose any problems that might arise.
This website uses Google Maps cookies on the Location page - These cookies are used by Google to store user preferences and information when viewing pages with Google maps on them. See here for more information.
Data Collected via Telephone
We use a paper bookings diary, consisting of names, contact telephone numbers, addresses and (if provided) email addresses.We also keep a paper copy of each invoice containing names, dates, addresses, the merchant copy docket from the card machine which is needed to reconcile the monthly credit card machine statement and which has to be given to our accountant at the end of the financial year. The bank card numbers and expiry dates are redacted from the dockets by deleting with a black marker pen. None of the information listed is kept electronically.
How we store your data
Your data is stored in paper form in a locked office to which only Ashlea House has access.
Any email correspondence with you, and any data you send us when submitting the contact form on the website, are stored on a password protected computer, which is kept in the same locked office. Emails, including submissions via the website contact form, are regularly deleted, although contact email addresses may be stored if required.
Why we use your data
We use your data as part of our Contract with you.
There is an obligation to know who we have staying under our roof and to divulge that information to a lawfully entitled enquirer, i.e. a police officer.
We also keep records of all financial transactions as required by HMRC.
In accordance with UK and European law under the General Data Protection Regulation (GDPR), you have numerous rights in regards to the personal data we hold about you, including:
- Right to confirmation – you have the right to know if we hold personal data that concerns you
- Right to access – you have the right to view and to obtain a copy of any personal data we hold that concerns you
- Right to rectification – you have the right to the correction of any inaccuracies within the personal data we hold that concerns you
- Right to erasure – you have the right to have your personal data removed from our systems
